Minutes of the Regular Meeting of Board of Directors

March 20, 2018

 

The Sweetwater County Library System Board of Directors met in regular session on March 20, 2018, at the Sweetwater County Library in Green River with the following present, Debbie DeBernardi Chair; Brenda Casey, Vice-Chair; Philip Pyzyna and Debbie Leisch Board members; Jason Grubb, Library Director;  Leora Kraft, library staff.

 

DeBernardi called the meeting to order at 6:01 pm.

 

Approval of Agenda:

Pyzyna made a motion to approve the agenda.  Casey seconded and the motion carried.

 

Approval of Minutes:

Casey made a motion to approve the February regular meeting minutes. Leisch seconded and the motion carried.

 

Financial Report and Approval of Expenditures:

The Board was emailed February and March Checking Account Activity, Budget Analysis, Balance Sheet and Void Check reports.  After a few payment questions, Pyzyna made a motion to approve the financial reports and expenditures. Casey seconded and the motion carried.

  

Correspondence:

None

 

Announcements:

There will be a Board Training Session on May 10th at 6 pm. The location will be announced. National Library Week will be April 8 – 14. There will be promotions and programs to celebrate.

 

Public Comment:

None

 

Old Business:

  1. Employee Handbook – Grubb is waiting for the handbook to be reviewed by LGLP. He will present if to the Board when it is returned.
  2. None

 

New Business:

  1. Budget- The schedule for the budget is released. The preliminary budget is due April 20th. A workshop is set for April 16th at 5:30 before the regular board meeting. Grubb gave the board a history of pay raises for library employees for the last few years. The Board directed Grubb to prepare several different options for raises and any other needed funds to present at the workshop

 

Contracts:

 

A contract between Community Fine Arts Center and Paul Taylor for $6,750 for a 10 day residency (April 9 to April 20, 2018) at Sage View Elementary school was signed by Debora Soule on January 6, 2018

 

Casey made a motion to ratify all contracts. Pyzyna seconded and the motion carried.

 

County Commissioner’s Report:  None

 

Director’s Report:

Grubb highlighted the Foundations letter writing campaign, 5k Fundraiser and Raffle.  He briefly spoke about the new security camera at Rock Springs Library as well as an update on the bathroom situation.

 

Monthly Statistics:

Grubb highlighted that checkouts were down 3.8% for the year, the system added 1699 in new materials 500 of those were a large DVD donation. Visits are steady, Programs offered are down but the attendance is up. Branch circulation as a whole are down by 6% but Wamsutter was closed for a couple of months due to a lengthy employee illness.

Set Time and Location for Next Meeting:

The date for the next regular meeting will be Monday, April 16, 2018 at White Mountain Library in Rock Springs at 6:00 pm. Budget Meeting at 5:30 p.m.

 

Adjourn: Leisch moved to adjourn the meeting. Casey seconded and the meeting adjourned at 6:26 p.m.
