Minutes of the Regular Meeting of Board of Directors

February 20, 2018

The Sweetwater County Library System Board of Directors met in regular session on February 20, 2018, at the Rock Springs Library in Rock Springs with the following present, Debbie DeBernardi Chair; Brenda Casey, Vice-Chair; Debbie Petri-Bullock, Treasurer; Philip Pyzyna and Debbie Leisch Board members; Jason Grubb, Library Director; Reed West, County Commissioner, Leora Kraft, library staff.

 

DeBernardi called the meeting to order at 6:05 pm.

 

Approval of Agenda:

Petri-Bullock made a motion to approve the agenda.  Pyzyna seconded and the motion carried.

 

Approval of Minutes:

Casey made a motion to approve the January regular meeting minutes. Petri-Bullock seconded and the motion carried.

 

Financial Report and Approval of Expenditures:

The Board was emailed January and February Checking Account Activity, Budget Analysis, Balance Sheet and Void Check reports.  After a few payment questions, Petri-Bullock made a motion to approve the financial reports and expenditures. Pyzyna seconded and the motion carried.

  

Correspondence:

A letter from the County Commissioners introducing the Library Board’s new member.

 

A thank you from the CDC for participation in the Annual Career Fair was included in the board packets.

Old Business:

  1. Employee Handbook – Grubb presented an updated handbook to the board, he highlighted any changes that were made, a brief discussion followed. The policy has been sent to LGLP for further review and will be presented back to the board when finished.

Contracts:

An agreement between Sweetwater County Library System and Broadway Theatre for a July 11th & 12th performance of the Amazing Adam, a summer reading performance, was signed by Jason Grubb on February 8, 2018.

 

An agreement between Sweetwater County Library System and Plan One/Architects for basic professional services necessary to the Renovation of the Rock Springs Library funded by the Louise Wesswick funds given to the Foundation, was signed by Jason Grubb.

 

An agreement between Sweetwater County Library System and Jace Waldner for the purpose of snow removal and lawn care at the Wamsutter Branch for a flat fee of $250 a month was signed by Jason Grubb on January 24, 2018

 

A lease agreement between the Sweetwater County Library System and the Town of Wamsutter was signed by Jason Grubb on January 8, 2018.  The Library System agrees to pay $1 of annual rent.

 

Pyzyna made a motion to ratify all contracts. Petri-Bullock seconded and the motion carried.

 

County Commissioner’s Report:  West stated he was looking forward to being the new liaison.

 

Director’s Report:

Grubb highlighted the items on his report.

 

Monthly Statistics:

Grubb highlighted that EBooks for the first time since the system introduced them finally circulated 1064 in a month, Print 16,500, Digital Audio Books had 1787 checkouts surpassing the physical audio book checkouts. Grubb stated this brings up the issue of where materials money is best spent.

The date for the next regular meeting will be Monday, March 19, 2018 at Sweetwater County Library in Green River at 6:00 pm.

 

Adjourn: Pyzyna moved to adjourn the meeting. Casey seconded and the meeting adjourned at 6:58 p.m.
